Pickup, meals and small ceremonies for a group of 20

Updated 8 November 2026

Extra services for a Komodo group charter start with what the fare already holds: pickup both ways in Labuan Bajo and every meal for up to 20 guests. Anything past that, from a cake to a trip photographer, gets a written quote before it touches your bill.

Hotel lobby to port: how 20 guests are collected

Pickup is part of the fare. A car meets the group at the hotel lobby or the airport in Labuan Bajo and takes it to the port, and brings it back at the end. That holds both ways, on every route.

For the standard 3D2N the pickup window is 10:00 to 11:00, and the boat sails at 11:00. You get the exact time in writing, and the driver's contact the day before. Keep the number in the group chat, not in one person's phone.

Twenty guests and their bags do not fit one car. For a big party we quote a bigger vehicle, priced per vehicle and only inside Labuan Bajo, and we tell you what it carries. It is a vehicle fee, not a per-person fee, so a full minibus costs the same as a half-empty one.

Rides outside the pickup, such as dinner in town the night before, are a separate question. The hotel page covers moving a group around town.

Free pickup

The group is collected from a hotel lobby or the airport in Labuan Bajo and returned there, with the pickup time written down for you.

Twenty guests and their bags need more than one car, so we quote a larger vehicle per vehicle, in Labuan Bajo only.

A short session on deck, set up and quoted first. The saloon is covered and open-sided, and there is no meeting room aboard.

Meals and special diets for 20: tell the chef early

The chef cooks all meals aboard: breakfast, lunch and dinner, with drinking water, tea and coffee between them. Nobody on the boat counts a second helping.

Diets need detail. Tell us about vegetarian, halal, gluten-free or lactose-free needs, and about any allergy, and we confirm each one with the boat team before you pay. Name the person, name the food, and say how serious it is. A note that says "a few people eat differently" helps nobody.

The kitchen cooks Indonesian food, and it works best when it knows the count a week ahead. For a school group, send the list of special needs with the name list. For a family, send it with the headcount.

Ask us about alcohol. Check the boat's policy with us before you pack a bottle, and we answer in writing.

A briefing on deck, a birthday cake, a small ceremony

Groups ask for small things, and most are possible. A briefing on deck before the Padar climb. A cake for a birthday on day two. A short ceremony at sunset, a farewell for a retiring teacher, a toast to a class that finished its exams.

We pass each request to the boat team and answer with a yes, a no or a price. We do not promise a surprise we have not checked. If the captain says the anchorage is rough on the night you want the cake, you will hear it from us and not from a waiter.

A company that wants a short session on deck gets the saloon, which is covered and open-sided. Do not expect a meeting room aboard; none exists, and we say so before you book. Keep the session short, and keep the slides on a laptop with its own battery.

Dinners ashore on an island are another extra. They depend on the captain, the tide and the park, and we quote them only once the island is chosen.

How extras are quoted: in writing, before anything is added

Nothing is added to your booking unless you have seen the price in writing and said yes. That sentence is the whole policy.

Here is how it runs. You tell us what you want when you send the headcount. We check with the boat team and come back with a yes, a no or a price. You accept, we add the line to the invoice, and the deposit and balance follow the usual schedule.

If a request comes up on board, the leader asks the captain, and the captain tells the leader what is possible and what it costs. Anything agreed on deck is confirmed to us in writing before it is added to the bill. We have seen too many arguments at the pier to leave that to memory.

Prices for extras are not printed on this site, because most depend on the date, the anchorage and the headcount. Ask, and we answer.

Documentation and a guide: quoted separately for a whole-boat charter

A whole-boat fare holds neither guide nor documentation. Each is optional, with a price of its own. The crew sails the boat and looks after the group; a guide walks the group through the day, and a photographer records it.

The rangers lead the Komodo Island walk, and that stays true with or without a guide. A guide on request is a person who knows the route, holds the schedule and speaks for your group at each landing, so the leader can walk with the others.

For documentation, tell us what you need: photographs of the group at Padar, a short video of the trip, a set for the school or company archive. We quote it in writing and add it only when you accept.

We do not promise a drone permit. Flying one in the park needs a permit that goes through Komodo Explorer, so ask early.

FAQ

How do we tell the kitchen about a guest's diet?

Send the note with your headcount and name list. Name the person, the food and how serious it is. We forward the note to the boat team and send the answer in writing before the deposit falls due. Tell us about vegetarian, halal, gluten-free, lactose-free or allergy needs the same way, and we confirm each one with the boat team.

Is a minibus for the whole group part of the fare?

Pickup from the hotel or airport in Labuan Bajo is included, both ways. For 20 guests and their bags, we quote a larger vehicle per vehicle, not per person, and confirm what it carries. Other rides in town are quoted the same way, and we type no amount here.
